What plan is the FACTS SIS integration on?
The FACTS SIS integration is currently available on the advanced plan. Please make sure you are on the advanced plan to request the integration of FACTS SIS with Track it Forward. You can review pricing and plan features here.
Can we have students and parents both sync to our Track it Forward?
At this time, you are only able to sync students or parents. If you would like both synced from FACTS SIS, you will need to make two different Track it Forward sites; one for students and one for parents.
Does the integration help import new users easily?
Yes! If a user is not part of your site, they will be added to the site and be synced for the future. You can then invite your new users to their Track it Forward account.
What happens to users already in Track it Forward during the sync?
During the integration, you will be able to identify FACTS SIS users with their corresponding Track it Forward account if both accounts share the same email address, and automatically merge them together in Track it Forward during the sync process.Their hours on Track it Forward prior to the sync will still remain on their Track it Forward account.
If a user is using a different email for FACTS SIS and Track it Forward, a duplicate account will be created for them using the FACTS SIS email. You will then need to merge their synced account with their previous Track it Forward account.
Please archive all appropriate Track it Forward users prior to syncing with FACTS SIS.
How do I archive users using the FACTS SIS integration?
When the school year is complete and you are looking to archive graduated users and families, update your FACTS SIS appropriately. Once that is complete you can re-sync on Track it Forward and the users that no longer match the sync criteria will be automatically archived.
Will all parent accounts be imported to Track it Forward?
All parents/family members are set to be imported automatically. You can change who you would like to be imported in the Review stage of the sync by designating different subsets of parents to be added; such as mothers and fathers, or Listed First. Please reference this help article if you only want to sync one account per family.
What happens if family members have the same email addresses as each other in FACTS SIS?
Track it Forward requires users to have a unique email address per account. If family members have the same email address in FACTS SIS, you will need to decide which parent will be imported and synced during review OR edit their profile in FACTS SIS profiles so each user has their own unique email address.
Some users have hour entries on FACTS SIS that read 'DELETED ON TRACK IT FORWARD'. What does this mean?
If you have hour syncing turned on, when deleting hours on Track it Forward the system will process that change with a "DELETED ON TRACK IT FORWARD" negative hour entry.
How often does FACTS SIS sync to Track it Forward?
If you have enabled Write permissions on People on your API key, approved hour submissions will continuously be synced back to FACTS SIS. Find out more about API key set up here.
Other syncing capabilities, such as new students/families and graduated students/families, will not be automatically synced to Track it Forward. You will need to go back into the sync tool in Track it Forward and sync to add, update, or archive users. Your setup from the first sync will remain, so in many cases you just need to click Begin Sync > Sync.
