Once you enter your API key on Track it Forward, we’ll take a first look at reviewing your data in Track it Forward. Next we’ll have a pre-onboarding meeting to review your data, errors, and users with you. 

After the pre-onboarding call, you will have access to go into the sync tool on your own and continue the selection and error review process. 

To review the errors in Track it Forward go to your Volunteers tab from your Organizer Dashboard, under Add Volunteers, click Import > Sync with FACTS SIS

 

You will see the following screen:

Click on Step 4. Review Potential Errors 

You can quickly see what errors have been found in your data:

How to read your review page:

  • Importable students: Number of student IDs that are successfully selected for import
  • Excluded students: Number of student IDs that are excluded from the current sync due to errors
  • Duplicates:
    • Red flag: Email address is used for two different student IDs
    • Gray flag: Resolved duplicates / Other user with duplicate email selected
  • Missing Emails:
    • Red flag: Student is missing an email address
  • Users:
    • Users to sync: Number of students that have been selected to sync with Track it Forward
    • Users to skip: Number of students that have been unselected and will not sync with Track it Forward
1. Review duplicates if needed

Ideally, student accounts shouldn’t have duplicate email addresses. If they do, use the Resolve Duplicates button to review the duplicates and select the appropriate accounts to import. When you are done, click on the Save & Update User List.

2. Review any missing emails

View students that have a missing email address by using the Filters > Status > Missing Emails.

Fix the missing emails in FACTS SIS now or make note of emails you need to gather. You can download an error report of missing emails by clicking download error report under the Missing Emails section at the top. You can always go back into the sync tool at a later date and sync students after their FACTS SIS data is updated. 

If you make changes in your FACTS SIS database during the review process, make sure to click Click to refresh [your FACTS SIS data]

3. Unselect students if needed

If you do not want to import all students for any reasons, you can use the available filters, such as Grade Level, to filter your student list and search for students you want to purposefully exclude. Uncheck the box next to their name(s) and click Save & Update User List. These unchecked students will continue to be skipped on future syncs until you re-check their accounts. 

4. Review any excluded students 

Next, set the filter to  Status > Excluded students to make sure that no students are mistakenly being missed. 

When you are finished reviewing, click Save & Update User List, and then you can click out of the sync page.

Please inform our Track it Forward team when you have finished reviewing errors and selecting users for import. We’ll then schedule a final onboarding call to initiate the integration!
