Track It Forward currently offers two features that allow volunteers to check in/out on a shared device on-site to log hours instantly. The general functionality between the Check In Kiosk and Digital Sign In Sheet is similar, but there are some key differences. 

Advanced Registration List

Digital Sign In Sheet 

The digital sign in sheet is linked with the Track It Forward calendar so you can coordinate events that require volunteers to RSVP ahead of time. 

When you access the digital sign in sheet, it will be customized with the list of volunteers who RSVP'ed for specific times so they can quickly sign in without searching their name.

Depending on your event settings, you can also allow walk in volunteers to sign in if they forgot to RSVP ahead of time. However, you can also prevent this if you want to enforce a maximum volunteer capacity for specific shifts. 

Check In Kiosk  

The kiosk is a universal check in sheet so it is not associated with a specific event or registration list. The kiosk will start as a blank sheet each day and volunteers will need to search their name from the master list to check in. 

Since the kiosk is not event specific, there is no limitation for how many volunteers can check in at specific times. 

Option for a Set Schedule

Digital Sign In Sheet 

Since the sign in sheet is linked to specific events, you have the ability to customize a set schedule (i.e. Sign up to volunteer from 5pm-6pm). You can decide if you want to default to the shift schedule or the current clock time during the sign in/out process.

For organizations that prefer to round the volunteer time, this make it easy to give volunteers credit for the shift without adjusting the sign in sheet manually if they arrive a few minutes early/late. 

Check In Kiosk 

Since the check in kiosk is not linked to a specific event or schedule, the check in/out time will always default to the current clock time. If volunteers forget to check in/out when they arrive/leave, they will need to manually adjust their time.

Option to Auto Sign Out Volunteers 

Digital Sign In Sheet 

With the digital sign in sheet, administrators have the ability to automatically sign volunteers in/out in bulk based on the scheduled shift time. This makes it easy for the administrator to confirm all volunteer receive credit without requiring each person to sign out individually. For example, if volunteers sign in for a meeting, the administrator could quickly sign everyone out when the meeting ends so everyone receives credit. 

Check In Kiosk 

The kiosk is not associated with a specific schedule, which means each volunteer needs to check out individually to record their time. If someone forgets to check out, an administrator would need to manually update the check out time based on their best estimate. Volunteers will also see an alert next time they check in if the system notices days without a check out time.  

Reporting Associated Event 

Digital Sign In Sheet 

From a reporting standpoint, the digital sign in sheet would give organizations the ability to track a specific activity from the hour log and an associated event. For example, a volunteer logged 3 hours for Special Events and the associated event was 2021 Fall Festival.

Check In Kiosk 

With the kiosk, organizations can only track a specific activity from the hour log (i.e. Special Events). If more detailed reports are necessary, the primary activity list would need to be modified (i.e. Special Events - Fall Festival, Special Events - Spring Concert, etc.)

How to Access

Digital Sign In Sheet 

The digital sign in sheet is available through the Volunteer Time Tracking app so it can only be used on a mobile device (i.e. phone or tablet). 

Check In Kiosk 

The check in kiosk is accessible through the Volunteer Check In Kiosk app, as well the website. This provides organizations with the flexibility to use the kiosk on a mobile device or a computer.
